Companies running Exchange Server on their own premises often find their contacts stuck on that server. Getting the same contacts into cloud mailboxes, phones, CRMs or partner systems usually means manual exports, CSV imports and duplicate cleanup, and the copies go out of date quickly. Hybrid setups and migrations to Microsoft 365 make this harder, because contacts end up split between on-premises and cloud mailboxes. This connector keeps Exchange contacts automatically in sync with your other tools. Changes made on either side are picked up and applied without duplicates, and you don't need to install any software on your server.

How does it work?

The Exchange On-Premises Contacts connector links the contacts stored on your own Microsoft Exchange Server with the other apps your team uses. You can sync contacts from any personal contact folder, a shared or delegated mailbox, or a public folder, either one-way or two-way. Connect Exchange with Microsoft 365, Outlook, Google Contacts, iCloud, or your CRM. Every person then has the same up-to-date names, phone numbers, emails, addresses and photos. SyncPenguin's no-code rules let you choose which contacts sync, how fields map, and what happens when contacts change or are deleted.

Popular real-world use cases

  • Keep Exchange On-Premises contacts and Microsoft 365 contacts in two-way sync during a hybrid deployment or a gradual migration to the cloud.
  • Distribute a company contact list kept in an Exchange public folder to each employee's Microsoft 365 mailbox, so it's available in Outlook and on their phones.
  • Copy your Microsoft 365 company directory (GAL) into a contact folder on Exchange Server, so on-premises users see colleagues' up-to-date details and caller ID on mobile.
  • Copy the Exchange On-Premises Global Address List into users' personal contact folders so colleagues' numbers appear on their smartphones.
  • Two-way sync Exchange contacts with Google Contacts for staff who use Android phones or Gmail alongside the company Exchange server.
  • Sync HubSpot contacts in a chosen lifecycle stage into a dedicated Exchange contact folder, so sales and support teams always have customer details in Outlook.
  • Keep sales reps' Exchange contacts in two-way sync with Pipedrive or Zoho CRM, so contacts added from the mailbox appear in the CRM and the other way around.
  • Sync Exchange contacts with Apple iCloud Contacts so personal iPhones and Macs share the same business contacts as the company mailbox.
  • Send Exchange contacts tagged with a specific category, such as "Newsletter", one-way to Mailchimp to keep your mailing list current automatically.
  • Sync QuickBooks customers into a shared Exchange contact folder so the accounting and office teams can find customer phone numbers and addresses in Outlook.

Things to note

  • Up to 3 email addresses are synced per contact, which matches the number of email slots Exchange provides.
  • Exchange stores one number per phone type (for example, one mobile and one home number), so if a source contact has several numbers of the same type, the first one is used.
  • Up to three addresses are synced per contact: home, work and other, which matches Exchange's address fields.
  • Contact groups (distribution lists) are not synced. Only individual contacts are synced.
  • Outlook user-defined custom fields are not synced, but you can combine extra information into fields like Notes using custom rules.
  • Your Exchange Web Services (EWS) endpoint must be reachable from the internet so SyncPenguin can connect to your server.
  • The contact creation date can be used in filters and rules but cannot be changed by syncing.
  • Contacts in the Deleted Items folder are not synced.

About Exchange On-Premises

Microsoft Exchange Server is Microsoft's email, calendar and contacts server that organizations install and run in their own data centers.
