Many organizations still run Exchange Server on their own infrastructure, while partners, contractors, or other departments use Google Calendar, Microsoft 365, or personal calendars. These systems don't share availability with each other. People end up double-booked, re-entering meetings by hand, or checking several calendars. SyncPenguin keeps your Exchange On-Premises calendars automatically in sync with other calendar platforms, so schedules stay accurate without manual work or custom IT projects.

How does it work?

The Exchange On-Premises Calendar Meetings connector links calendars on your own Exchange Server to the other calendar apps your team uses. You can sync meetings one-way or two-way with Google Calendar, Microsoft 365, Outlook, iCloud and others, so everyone sees the same schedule wherever they work. It handles recurring meetings, attendees, rooms, categories and time zones. It works with personal calendars, shared and room mailboxes, and public folder calendars. With SyncPenguin's no-code rules, you decide exactly which meetings are synced and how each field is copied.

Popular real-world use cases

  • Two-way sync an employee's Exchange On-Premises calendar with their Google Calendar, so meetings booked on either side appear in both.
  • During a gradual migration from Exchange Server to Microsoft 365, keep on-premises and cloud calendars in sync so users on both platforms see the same schedules.
  • Copy only the time slots of work meetings from Exchange On-Premises to a personal Outlook.com calendar as private 'Busy' blocks, hiding subjects and descriptions with custom rules.
  • Sync personal appointments from an iCloud calendar into Exchange On-Premises as busy blocks, so colleagues see accurate availability without seeing private details.
  • Publish meetings from an Exchange public folder or shared room calendar to a Microsoft 365 Group calendar, so a cloud-based team can see room bookings.
  • Import events from an external iCalendar (.ICS) feed, such as a holiday, training, or booking schedule, into a shared Exchange On-Premises calendar.
  • Keep sales reps' Exchange On-Premises meetings in sync with Salesforce, so customer meetings are logged in the CRM automatically.
  • Sync Zoho CRM meetings to Exchange On-Premises calendars, so meetings scheduled in the CRM show up in Outlook.
  • Merge several team members' Google Calendars into one shared Exchange On-Premises calendar for a combined team availability view, filtered to work-related events only.
  • Sync meetings with specific categories from one Exchange On-Premises calendar to another, for example from a manager's calendar to an assistant's or department calendar.

Things to note

  • Your Exchange Server must have Exchange Web Services (EWS) enabled and reachable from the internet so SyncPenguin can connect to it.
  • Synced meetings are saved without sending invitations or cancellations to attendees. This prevents unwanted emails, but SyncPenguin cannot be used to send meeting invites.
  • For meetings organized by someone else, or meetings with other attendees, only the date and time are updated. This protects the organizer's original meeting details.
  • Organizer, response status, event page link and recurrence status fields can be read and used in rules, but cannot be changed through syncing.
  • Attachment syncing is optional and must be enabled in the connection settings. Very large attachments may slow down syncing.
  • The initial sync covers recent and upcoming meetings plus active recurring series. Very old past meetings are not synced, which keeps syncing fast and relevant.
  • Custom Exchange fields are not available for mapping. All standard meeting fields are supported.
