SyncPenguin's connector for Capsule contacts

Sync your Capsule contacts two-way or one-way with other apps and services

Capsule CRM is where many small businesses keep their customer relationships, but those contacts are often also needed on phones, in email clients, in marketing tools, and in accounting software. Keeping them up to date by hand leads to outdated phone numbers, missing emails, and duplicate records across systems. The Capsule Contacts connector removes this manual work. It automatically detects new, changed, and deleted contacts and applies those changes to the connected apps, so every system has the same accurate contact information.

How does it work?

The Capsule Contacts connector links the people in your Capsule CRM with the other apps your team uses every day. You can keep Capsule in sync with Google Contacts, Outlook, Microsoft 365, iCloud, HubSpot, Mailchimp, accounting tools, and more, in one direction or both. Names, emails, phone numbers, addresses, companies, tags, and your Capsule custom fields can all be synced. SyncPenguin's no-code rules let you decide which contacts sync, how fields map, and what happens when a contact is deleted.

Popular real-world use cases

  • Two-way sync Capsule contacts with Google Contacts, so customer details are always available on your Android phone and in Gmail.
  • Give the whole sales team their Capsule contacts in Outlook. Push each salesperson's own Capsule contacts, filtered by owner, into their Microsoft 365 mailbox.
  • Send Capsule contacts with a 'Newsletter' tag to a Mailchimp audience, so your email lists always match your CRM.
  • Keep Capsule and Apple iCloud Contacts in sync, so client names and numbers appear on your iPhone when they call.
  • Sync Capsule contacts tagged 'Customer' to Xero or QuickBooks, so invoicing always uses up-to-date names, emails, and addresses.
  • Connect marketing and sales by syncing HubSpot contacts with Capsule. Marketing-qualified leads land in Capsule for the sales team, and updates flow back.
  • Automatically add new Shopify or Square customers to Capsule with a tag, so your CRM always includes your latest buyers.
  • Combine contacts from several team members' Google Contacts accounts into one shared Capsule CRM using a many-to-one sync.
  • Run Capsule alongside Pipedrive or Zoho CRM during a transition, or keep contacts aligned between teams that use different CRMs.

Key features

Two-Way Sync

Keep Capsule contacts in sync with other apps in both directions, or push changes one way only. Updates flow automatically without creating duplicates.

Custom Fields

Sync your Capsule custom fields, including text, number, date, checkbox, and dropdown list fields, alongside the standard contact details.

Owner Filtering

Sync only the contacts owned by a specific Capsule user. This makes it easy to give each team member their own contacts on their phone or in their mailbox.

Tags & Companies

Carry over Capsule tags and the linked company name. You can also use tags in filters and rules to control exactly which contacts get synced.

Deletion Tracking

SyncPenguin detects contacts deleted in Capsule and can remove them from connected apps. Your deletion rules decide when this happens.

Affordable & Scalable

With SyncPenguin you only pay for changes to your data, regardless of how many contacts you initially have, or will have in the future.

Supported fields

First name Last name Title (salutation) Job title Description Website Email addresses Phone numbers Addresses Company Tags Custom text fields Custom number fields Custom date fields Custom checkbox fields Custom dropdown list fields

Things to note

  • The connector syncs people (person contacts) in Capsule. Organisations are not synced as separate records, but each person's company name is synced.
  • Capsule only accepts the standard salutations Mr, Master, Mrs, Miss, and Ms. Other title values are skipped when writing to Capsule, so you may want a custom rule to convert them.
  • Address countries must match Capsule's country names (for example 'United Kingdom' or 'United States'). Unrecognized country values are left blank, and you can use a custom rule to standardize them.
  • One main website URL is synced per contact. Social media profiles stored in Capsule are not synced.
  • Custom fields of the 'link' type and custom fields that apply only to organisations are not available for syncing.
  • Tags are not mapped automatically, which prevents unwanted tags from spreading to other apps. You can add a tag mapping in a few clicks in the field mapping settings.
  • When filtering by owner, contacts newly created in Capsule by the sync may be assigned according to Capsule's default ownership settings rather than the selected owner.
