Microsoft 365 group calendars are useful for shared team schedules, but they stay inside the group. Group meetings usually don't appear in members' own calendars. People on Google Calendar, iCloud or other tenants can't see them, and adding team events by hand is slow and error-prone. This connector keeps the group calendar automatically in sync with the calendars people actually use. Everyone gets one up-to-date view of team meetings, time off and shared events without copying anything manually.

How does it work?

The Microsoft 365 Group Calendar Meetings connector links the shared calendar of any Microsoft 365 group to SyncPenguin. You can keep group meetings in sync with personal Microsoft 365 or Outlook calendars, Google Calendar, iCloud, Exchange and other calendars, in one direction or both. Recurring series, edited and cancelled occurrences, time zones, Teams links and meeting details are all carried over. Filters and no-code rules let you decide exactly which meetings are shared and how they appear on each side.

Popular real-world use cases

  • Copy each team member's vacations and out-of-office events from their Microsoft 365 calendar into the team's group calendar. A filter on free/busy status or category gives everyone a shared availability overview.
  • Push all group calendar meetings into every member's personal Microsoft 365 calendar. Team events then show up in each person's own Outlook calendar and phone.
  • Keep a Microsoft 365 group calendar and a Google Calendar in two-way sync. Partners, contractors or a sister company on Google Workspace can then see and add shared team meetings.
  • Sync meetings between two Microsoft 365 group calendars, for example across departments or separate tenants. Filters can share only events with a specific category.
  • Import a public holiday, school term or industry event .ICS feed into the group calendar so the whole team sees important dates automatically.
  • Mirror sales meetings from Salesforce into the sales team's group calendar. Custom rules can replace subjects with "Busy" to keep client details private.
  • Keep a group calendar in sync with an Exchange On-Premises calendar during a migration or in a hybrid setup, so both environments show the same team schedule.
  • Share the group calendar one-way with team members or family members who use Apple iCloud Calendar on their iPhone and Mac.
  • Let freelancers or volunteers using personal Outlook.com calendars sync their bookings into the organization's group calendar for central scheduling.
  • Combine Google Calendar and Microsoft 365 calendars of several team members into one group calendar. Rules add the person's name to each meeting subject.

Things to note

  • Only Microsoft 365 groups have a shared calendar, so distribution lists and security groups can't be selected. Each connection syncs one group calendar, and you can add more connections for additional groups.
  • Microsoft doesn't offer instant change notifications for group calendars. Changes are picked up on regular scheduled syncs rather than in real time.
  • To keep syncing focused on relevant meetings, the initial merge includes upcoming events and those from the past month. Recurring series that ended long ago are skipped.
  • Existing meetings that already have attendees aren't modified, so participants don't receive unexpected update emails. New meetings and events without attendees are fully kept in sync.
  • Attendees, organizer, response, plain-text description and event page link are read-only. They can be used in filters and rules or copied to other calendars, but they can't be changed in the group calendar.
  • The connected Microsoft account needs access to the selected group's calendar, typically as a group member.
