Many people manage more than one calendar: a Microsoft 365 work calendar, a personal Google or iCloud calendar, a client's tenant, or a legacy Exchange server. When these calendars don't talk to each other, double bookings, missed meetings and manual copy-pasting follow. Built-in sharing options are limited, often one-way, and rarely let you control privacy or what gets shared. SyncPenguin solves this by automatically keeping Microsoft 365 calendars in sync with your other calendars, under rules you control. Your availability stays accurate everywhere without exposing more detail than you want.

How does it work?

The Microsoft 365 Calendar Meetings connector lets you keep your Microsoft 365 (Exchange Online) calendars in sync with other calendars, automatically and in near real time. Connect one calendar or your entire organization, then sync meetings one-way or two-way with Google Calendar, Outlook.com, Exchange On-Premises, iCloud and more. With SyncPenguin's no-code rules you decide exactly which meetings sync and how they appear. For example, you can show private appointments as simple "Busy" blocks, sync only certain categories, or rename meetings on the fly. Recurring series, exceptions and Teams links are all handled for you.

Popular real-world use cases

  • Two-way sync between a Microsoft 365 work calendar and a personal Google Calendar, showing personal appointments as private "Busy" blocks at work so colleagues see accurate availability.
  • Keep calendars in two different Microsoft 365 tenants in sync, for example for consultants who work inside a client's organization or for companies going through a merger.
  • Admins use domain-wide access to automatically copy every team member's meetings into a shared Microsoft 365 Group calendar, giving managers a single overview of team availability.
  • Sync Microsoft 365 meeting room and resource calendars to Google Calendar, so teams working in Google Workspace can see room bookings.
  • Run Exchange On-Premises and Microsoft 365 side by side during a migration, keeping calendars in sync both ways until the move is complete.
  • Merge a personal Outlook.com calendar with a Microsoft 365 work calendar, syncing only events with a specific category such as "Work".
  • Bring family events from an Apple iCloud calendar into Microsoft 365 as "Busy" blocks, so personal commitments are never double-booked at work.
  • Subscribe to an ICS feed from a booking system, school calendar or holiday list and sync it one-way into Microsoft 365.
  • Sync client meetings from Salesforce to Microsoft 365 so sales reps see CRM appointments in Outlook and Teams alongside their other meetings.
  • Send only Microsoft 365 meetings tagged with a "Client" category to Zoho CRM, keeping the CRM activity history complete without internal meetings.

Key features

Near Real-Time

Changes in Microsoft 365 are detected instantly through webhooks, and only new changes are processed, so your calendars stay up to date within moments.

Recurring Meetings

Daily, weekly, monthly and yearly series sync with all their details, including cancelled occurrences and individually modified occurrences.

Domain-Wide Access

Admins can connect the whole Microsoft 365 tenant once and set up calendar syncing for all employees or a selected user group, without collecting individual logins.

No Duplicates

Before creating a meeting, SyncPenguin checks for an existing event with the same time and subject, so the initial merge is clean and doesn't produce duplicates.

Teams Links

Teams meeting links can be carried over to synced copies, so a one-click join link is available in every calendar.

Affordable & Scalable

With SyncPenguin you only pay for changes to your data, regardless of how many meetings you initially have, or will have in the future.

Supported fields

Subject Start End All-day event Time zone Location Description (rich text) Description (plain text) Teams meeting link Link to event page Sensitivity (privacy) Organizer email Organizer name Categories Free/busy status Importance Reminder on/off Your response Attendees iCalendar ID Is recurring Recurrence pattern Cancelled occurrences Modified occurrences

Things to note

  • Attendee lists and response statuses are synced from Microsoft 365 but not written to it, so participants never receive unexpected invitations. You can still use attendees and responses in filters and rules.
  • To avoid sending update notifications to participants, SyncPenguin doesn't modify Microsoft 365 meetings that already have invited attendees. These meetings still sync to your other calendars as usual.
  • Syncing focuses on current and upcoming events: changes to one-time meetings more than about a month in the past, and recurring series that ended long ago, are not synced.
  • Custom fields, attachments and the exact reminder time are not synced. Only whether a reminder is on or off is synced.
  • Teams links can be copied to synced events as a join link, but SyncPenguin doesn't create new Teams meetings on its own.
