The Global Address List in Exchange On-Premises is only fully available inside Outlook while connected to your company's server. Employees often can't see coworkers' details on their phones, in Google or iCloud contacts, or in business tools like CRMs. Keeping those contact lists updated by hand is slow and full of mistakes, and it gets worse as people join, change roles or switch departments. SyncPenguin solves this by automatically copying your Exchange address list to the apps your team uses and keeping it current.

How does it work?

The Exchange On-Premises GAL Contacts connector lets SyncPenguin read your company's Global Address List, or any other address list, directly from your Exchange Server and share it wherever your team works. Automatically copy coworkers' names, job titles, departments, companies and email addresses into Outlook, Microsoft 365, Google, iCloud or your CRM. Your company directory stays available and up to date on every device and app. Filters and no-code rules let you choose exactly who gets synced and how each field appears.

Popular real-world use cases

  • Sync your Exchange On-Premises Global Address List to Outlook Contacts so coworkers' details appear on employees' phones and in personal address books.
  • Push the on-premises company directory into Microsoft 365 Contacts for all or selected employees during a hybrid setup or migration to the cloud.
  • Keep the Exchange On-Premises GAL and the Microsoft 365 GAL contacts aligned in hybrid environments, so cloud users see the same coworkers as on-premises users.
  • Copy the company directory to Google Contacts so staff using Android phones or Gmail can quickly find and call colleagues.
  • Sync the Global Address List into Apple iCloud Contacts so employees using iPhones always have an up-to-date list of coworkers.
  • Copy GAL entries into users' personal Exchange On-Premises mailbox contacts so the company directory is available offline and on mobile devices connected via ActiveSync.
  • Sync employees from a specific department, such as Sales or Support, into HubSpot Contacts and tag them as internal team members with a custom rule.
  • Build a searchable team directory in Notion that updates automatically when job titles or departments change in Exchange.
  • Keep an internal newsletter audience in Mailchimp up to date by syncing all GAL members with an email address.
  • Maintain a list of internal account owners in Salesforce or Zoho CRM based on a filtered Exchange address list.

Things to note

  • This connector is read-only by design. It reads contacts from your Exchange address list and syncs them to other apps, which protects your company directory from unwanted changes. To edit directory entries, update them in Exchange as usual and SyncPenguin will pick up the changes.
  • The connector syncs each person's primary email address. Additional email addresses, phone numbers and postal addresses are not included at this time.
  • Custom fields are not supported. The connector focuses on the core directory details: names, job title, department, company and email.
  • You need to provide the ID of the address list you want to sync. Your Exchange administrator can find it in a few seconds using the Exchange Management Shell.
  • Your Exchange Server must be Exchange 2013 or newer, and its Exchange Web Services (EWS) endpoint must be reachable from the internet so SyncPenguin can connect securely.
  • Each sync reviews the full address list to find changes. Very large directories may take a little longer to process than smaller ones.

About Exchange On-Premises GAL

Microsoft Exchange Server is Microsoft's self-hosted email, calendar and contacts server, used by organizations that run their messaging infrastructure on their own premises. Its Global Address List (GAL) and custom address lists act as the official company directory. They contain names, job titles, departments and email addresses for everyone in the organization, and are available to users in Outlook.
